Exchange Email Quota
A "soft" quota has been placed on each Exchange account. This means that when your account starts getting close to its quota, you will be sent an email with information on how to optimize your email client settings and how to get your quota increased if necessary. We have included these instructions here for those people who would like to be proactive in keeping their email well maintained and optimized for their client and for our server.

Empty the Junk Email folder
To empty the Junk Email folder, right‐click on the folder in the folder list and select “Empty Junk E‐Mail”.
Empty the Deleted Items folder
To empty the Deleted Items folder, right‐click on the folder and select “Empty Deleted Items”.
Deleting Sent Items that are no longer needed
To delete unneeded Sent Items, go into the Sent Items folder and select items that you no longer need. Hit the delete key to move them to the Deleted Items folder, then empty the Deleted Items folder.
Remove unneeded attachments from saved emails
Outlook allows you to keep an email but remove the attachment. This is useful if you have several versions of a document in several emails; you can keep the email thread but remove all but the final version of the document. You may also have already saved an attachment elsewhere, so no longer need to have it in the email.
- Open the e‐mail. Right‐click on the attachment you wish to remove, then click “Remove”.
- Click the Save button, or close the email and choose to save the changes when the dialog box asks you.
- The e‐mail will be retained, but the attachment will be gone, thus freeing up space in your account.

To empty the Junk E‐Mail folder, control‐click (or right‐click if you have a two‐button mouse) on the folder in the folder list and select “Empty Junk E‐Mail”.

To empty the Deleted Items folder, control‐click (or right‐click if you have a two‐button mouse) on the folder and select “Empty Deleted Items”.

- Open the e‐mail. Highlight the attachment you want to remove. Click the Remove button.
- Select Delete on the confirmation screen.
- The e‐mail will be retained, but the attachment is gone (the note regarding the attachment being removed does not persist when Entourage restarts).
